EXPLANATION OF RECORDING REQUIREMENTS
Grantor/Grantee Designation
· If no designation is made, reject for correction or user may choose to file as non-standard document.
· If a user demands recording without designation, Recorder will not index grantor/grantee, but will show the rest of the required information on the index.
· The Recorder will index exactly as shown on document or cover sheet. If there is a difference between the cover sheet and the document, the cover sheet is the indexing rule. The Recorder will not change the designations for indexing.
· The Recorder should not tell a user to alter their document, but should make every effort to explain what the law requires. They may refer to the Missouri Bar web site for additional information on grantor/grantee designations.

Page Reference(s)
· Cover sheet
1) Does not have to be numbered
2) Reference on cover sheet must match pre-numbered page of the document.
3) If page numbers are referenced on cover sheet, document must reflect those numbers.
· Exhibit(s)
1) If last page of document or added at the end, it does not have to have a numerical number.
2) If placed in the middle of a document, it does not have to be numbered.
4) Reference to the exhibit must be specific such as "See Exhibit A", the phrase "See Attached Legal" does not fulfill reference requirement.
Ink
· Black or dark ink-this does allow any ink color, including blue, if reproducible from record.
Margins
· Top 3" Certification
1) There is to be nothing in the top 3" when presented for recording. This includes any borders that are printed, return addresses, form numbers etc.
2) Required notation of promissory note presentation cancellations shall be placed along with the certificate in this area.
· All other margins are to be ¾"
Notary Public
· Name is to be typed, printed or stamped underneath the signature. If the notary uses a stamp seal and places it directly underneath their signature, it would comply.
· Seals
1) Seals shall not be placed over any printed text of the document or signatures.
2) Seals may not be in the margins of the document.
3) Seals must meet the requirements of 8-point type.
4) Seals must have the four requirements:
-Notary Public
-Notary Seal
-State of Missouri
-Notary's name
· The notary must complete a proper acknowledgement statement, which includes stating the capacity of the person being acknowledged in some form as suggested in RSMo 486.
· Out of state notary publics must comply with Missouri statutory and formatting requirements. Some states, however, do not require a notary seal.
Corporate Seals
· Corporate seals, if required, may not be placed over printed text of the document, signatures or within the margins.
Recorder's Certificate
· Recorders will certify documents only in the top 3" of each document. There will be no certificates at the end or other locations in the document.
· For Non-standard and Exempt documents, the Recorder will add a certificate page.
Notary Public Requirements
· Please complete all blanks of the acknowledgement. Use dark blue or black ink only. The Notary must print or type his/her name on the line within the acknowledgement and also beneath his/her signature on the line below the acknowledgement unless your seal is used under your signature.
· An ink-stamp seal should be clear, dark and uniform. If an embossing seal is used, all letters must make a CLEAR, SHARPLY RAISED IMPRESSION. An ink stamp used alone is sufficient.
· Missouri Notary seals must have Notary name, "Notary Public", "Notary Seal", and "State of Missouri". The letter size in your Notary seal or stamp must be no smaller than 8 points. The type you are reading is 8 points. Notary seals must NOT overlap any printed or written matter or go beyond the required ¾" side and bottom margins.
